Ways to Merge

Overview

Cloudingo offers three standard methods to merge duplicate records within the platform - Manual Merge, Mass Merge, and Automated Merge. Additionally, for enterprise license holders, there are options available for Real-Time Merge and Integration using Web Service API & Callback API.

Getting Started with Manual Merge

1. It is recommended to start with the manual merge to better understand the process before running jobs in bulk. This provides a final chance to preview the results on the page before performing a merge and seeing the end result in Salesforce.
2. Records are displayed side by side and editing the master and field values selected is permitted.
3. Merges are performed on one group of records at a time.
4. Recommended for filters that have a low confidence level or for when just getting started with a new filter.
5. Set up rules to pre-select the master and field selections automatically.

Moving to Mass Merge and Automated Merge

1. As things progress in the deduplication process, there will be some filters that can be safely merged in bulk using Mass Merge or Automated Merge.
2. It is recommended to start with filters that have the tightest criteria and then loosen them up in new filters to find any additional matches that may need manual review.
   1. This will reduce the number of records that need to be reviewed manually.
3. Mass Merge provides a preview of the results on the page and the merges can be performed on a maximum of one page of records at a time.
4. Recommended for filters that have a high confidence level and for when there is only a page or so of duplicates to manage.
5. Select specific groups of records and click a button to merge all selected groups.
6. Set up rules to pre-select the master and field selections automatically.

Automated Merge

1. Recommended for filters with a high confidence level where record matches and master/field selections do not need to be reviewed manually.
2. Recommended for filters that contain multiple pages of results.
3. Merging will continue processing after the job is started. Users do not need to remain logged in.
4. Define rules for Cloudingo and then run an auto-merge job on selected filters to merge all duplicate groups within the filter.

Real-Time Merge

Real-Time Merge functions similarly to standard merge, utilizing user-configured filters and rules. The key distinction is the near-instantaneous nature of Real-Time Merge. Feature can be enabled within Step 1 of the filter configuration.

1. Filter operates continuously; there is no need to recalculate, manually merge, schedule, or initiate automation.
   1. The feature should only be enabled using filters with reliable field matches to prevent false positives. 
   2. The rule assigned to the filter is automatically applied during merge to determine the master & field value selections.
   3. Only one real-time filter per object can be enabled.
2. Available with Professional and Enterprise level licenses only.
3. Available for standard object merge filters only (Leads, Contacts, Accounts, and Person Accounts).
4. Duplicate checks include a daily limit of 100,000 groups of duplicates processed within a 24-hour period.
   1. If limits are exceeded, an automation job is automatically created.
5. The real-time feature cannot be enabled on the following filters:
   1. Filters using 'Match on Empty' settings.
   2. Cross-matching merge filters. 
   3. Convert filters (Lead to Contact or Lead to Account).
   4. Custom object merge filters.  

Web Service API & Callback API Integrations

1. For Enterprise license holders, Cloudingo offers the option to integrate the platform with an enterprise system using the Web Service API & Callback API.
2. This feature finds and passes the incoming data through Cloudingo filters to identify duplicate matches in real-time, and merges data, while also keeping multiple disconnected systems in sync and up-to-date.
