Real-Time Merge

  • NEW FEATURE! Available to Professional and Enterprise level license users only. Enable real-time merge on any single filter (per object) to capture incoming records and dedupe automatically (without the need to recalculate results or schedule filter runs).

Reports

  • Automation Summary report has been updated to include the user performing the job.
  • Added a new ‘Schedules’ tab to the Report dashboard options. The page will display all report schedules configured for all users. Report schedules can be added, edited, or deleted from this dashboard.

Rules

  • Added a new master rule option that chooses the 'Record with Active Owner' so that a record with an Inactive Owner assigned is not chosen as the master.
  • Added a new option when configuring a field-specific rule on the 'Owner ID' field to “Choose active owner when master has inactive owner”. The rule will choose an active owner from one of the non-master records if the master record's owner is inactive.

Undo/Restore

  • For customers using Contacts with multiple Account associations with Account/Contact Relationships, restores may have previously failed on direct account relationships with a message that a relationship already exists between the contact and Account. The reparenting has been redesigned to insert the indirect relationships to the AccountContactRelation object so that multiple related accounts are tied to the Contact. Primary account record is not added to the AccountContactRelation since it already exists.

Misc

  • Multiple enhancements to impact speed of processing.
  • Multiple tasks performed for pre-work requirements for future release.

Filter & Rule Libraries

  • Added ability to auto-merge Accounts before Contacts when hybrid merge (for Household Contact/Account) merge feature is enabled. A separate checkbox option is available in step 1 of the filter configuration. The "Merge Related Direct Accounts" (the original setting) merges Contacts first then the associated Households. If the option "Merge Related Direct Accounts before merging Contacts" is also enabled, the Account merge will take place first then the associated Contacts.

Owner Mapping

  • Added ability to set up multiple inactive users at the same time (new UI).

NEW! User Interface

  • Cloudingo has a new user interface. Underlying configurations and features remain the same. Only the look and feel (and navigation) have changed. Existing users will be able to toggle between the old & new UI for a limited time.

Custom Merge

  • Improved behind the scenes processing. This will help circumvent CPU limit errors during the custom object merge in many cases.

Excluded Records

  • Added ability to filter by excluded record date added & bulk delete options (New UI Beta Version Only; Not available for all users yet)

Reports

  • Duplicates Eliminated Report: Updated report to be real-time counts displayed. Previously, the report was updated nightly.
  • Activity Stream Report: Update report headers on output

Rules

  • Added tiebreaker option to the Default Field Rule when impacted rules are chosen that require a tiebreaker decision.

3.9.2.0 - November 9, 2022

Filters

  • Added new options to tab 4 filter configurations to further limit groups where 'only one record' in the group of matches fit the criteria specified. Options include: have a value, have no value, contain a certain value, have an exact value, starts/ends with a value, does not have an exact value, does not start/end with a value, & does not contain a certain value. Rules

  • Added a new option to specific field rule when using the 'Combine field values into another field' option under the 'Actions' setting of the field level rule. Users can now choose a setting that will exclude copying values from any non-master record where the value is the same as the master record's value.   • Added the ability to setup specific field rules on formula fields in specific cases. If a formula field is used in a field grouping as the controlling field, the formula field can now be used to define a field rule to determine how the grouped fields will be chosen for merge. Formula fields are system determined fields that typically cannot be 'set' during merge, because the value is inherited from the record or formula used to determine the field's value. They are not editable fields on the record. But, now these field types can be used for determining how other fields are chosen & passed during merge within the group of matches. The formula field itself will still not be passed during merge, but will inherit the appropriate value once the merge completes. Our help article on grouped fields can be found here:

3.8.8.0 - October 28, 2021

API

  • Introduced a new rule for incoming records (for prioritizing import or API record data over existing data during merge) and changed the ability to designate master record for incoming records (master will always choose a Salesforce record).  For users that were using rules previously configured for API using Oldest Created Date, those rules were put into ‘Classic Mode’ to prevent the import merges from being handled differently. Action will be required for import rules to switch off of Classic Mode to Current Mode. For current API users, please pay close attention to this change.   • Added option to bypass Undo/Restore during a one-off automation job

Data Maintenance

  • Added Country transform options to the Update Unique Records & Mass Convert job types. When configured, you can choose to transform the value from Country Name to Country Code or from Country Code to Country Name.
  • Added support for includes/excludes for multi-picklist fields.

Dashboard

  • Added ability to add user filters to the filter library from within the Manage Dashboards screen.
  • Added ability for current users to view their own dashboards within the Manage Dashboards screen.

Filters

  • The Company Name Cleaned matching algorithm is now customizable under the Synonyms section. See more details in our help article here: https://help.cloudingo.com/docs/creating-editing-filters#company-clean
  • Added greater than, less than, equal to filtering options to numeric and currency field types.
  • Added a pre-filtered report option to the filter menu called 'Errors & Warnings' that will list the merge/convert failures for the specific filter you run the report from. Click the specific filter menu options to find this new option.
  • Added a Details option to the filter menu that will provide details on the filter description and which automation rule is assigned. Click the specific filter menu options to find this new option.

Import

  • New filter option in Step 5 of the import process allows users to now create filters on the fly specifically for the import they are running. Users will have the option to choose an existing filter or create their own filtering logic.

  • Automation Preview is now customizable with a new output option.
  • Automation Preview now supports convert filters and will include incomplete import records uploaded to the import wizard that would be included with merge/convert filters.
  • Added additional search options to Merge/Convert Summary report.
  • Added a quick link to the Activity Stream Errors/Warnings report that will give more details from the Merge/Convert Summary report on failures.
  • Added new option to Report schedules that can now include the graphical view to the emailed report.

Rules

  • Added new rule option to choose an incoming (import or API) value for merge. This is replacing the classic mode where incoming record used the Oldest Created Date for the rule when choosing the incoming record.  For current import or API users, please pay close attention to this change.   • Added a new specific field rule to ‘inherit default field rule’ and ‘inherit default field override’ settings to allow for Actions settings without needing to setup a rule & override (which could potentially change behavior for the field value chosen if not configured correctly to match the default field rule/override). These new options also allow for fields grouped together to be chosen for Action features only (such as creating a note, audit, combine value into another field, etc.)
  • Added tiebreaker options at the specific field rule level for several rules (Most Common, Override Master Value With Value not on Ignore List, Preserve Master Value if not on Ignore List, Most Complete by Grouped Fields, & Field With Max Characters).
  • Added ability to set current date/timestamp during merge for custom date fields.

Undo/Restore

  • Added additional search options for finding specific groups within the Merge/Convert report.
  • Added new options for backing up Notes & Attachments. Options include Quick, Basic, or Deep tracking. The previous (and only option) was Deep tracking.

3.8.7.0 - July 6, 2021

Data Maintenance

  • Added a new option to the Update Matching Records job type that allows users to choose to only update the Master record. Prior options allowed update all records or child records, but there was not a way to update only the master. This option appears now in tab 4 (‘What fields do you want to update’ section

Excluded Records: Protected & Hidden Records

  • Added new option that will allow for bulk deleting protected and/or hidden records from a user defined list.

Import

  • Added intelligent lookup when file data contains an ID value that uses the 15 digit record ID. Cloudingo will attempt to automatically pull in the full 18 digit ID during the file processing.

Integrations: Callback API/Endpoint

  • Added option to test the web hook without requiring a job to be processed first. The pop up will allow users to set custom values for the given macros and see the returned response.

Reports

  • The backup & restore activity reports now contain the Backup Job ID. This ID is an internal value stored on the backup job, but will be useful to users who want to filter out all backup/restore activity within a specific job. Prior to this, it may have been difficult to see within the report which backup plan related objects were a part of.
  • Added additional date range options to the (graphical view) Dedupe & Data Maintenance Audit reports that display on the Reports dashboard. New options include the ability to go back and view data for last 60 or 90 days.

Syncing Process

  • Added a server-side option that allows for more frequent user syncing (hourly vs. daily). This will help allow for more frequent updates to portal user designations on records within Cloudingo. If you would like this enabled, please contact our Support Team (through Help >> Contact Support within Cloudingo).

Undo/Restore

  • Notes and Attachments: Added options for backing up/restoring Notes and Attachments. Previously these items were automatically backed up with the feature, with no option to disable them. Options now allow users to set a preference to not backup notes/attachments at all, track all notes and attachments, or to track notes and attachments for the primary object only (not related objects). The default will still be to track all notes and attachments.
  • Advanced Settings: Currently, these items must be enabled by through your Account Representative or through our Support Team. The new options are ‘Reparent other related objects’ and ‘Track all related objects’. Both options cannot be enabled at the same time, this is an either/or setting. The primary difference is that the "Track All Related" will reparent and restore any related object related to the objects involved in the merge, while the "Reparent related" will only reparent the related objects and will not recreate them if they no longer exist. Please contact our team if you need more details on these options.

General System Changes

  • There were numerous additional changes made to help improve overall performance, security requirements, requirements in preparation for future features, error handling, and much more that cannot visibly be seen within the application itself.

3.8.6.0 - March 9, 2021

API Integration 

  • Added ability to choose to enable Lead Assignment Rules.

Automation Rule

  • Added an option under ‘Actions’ for field rules in the ‘Combine values into another field’ option that allows user to copy all values from all records OR only non-master record values (excluding the master value).
  • Added new override master option for field level rules to ‘Always Override Master even with a Blank’ and changed previous ‘Always override the master’ to ‘Always Override Master with a value’. CLD-7172
  • Added grouped fields to audit and notes list if the controlling field has audit and notes enabled (previously grouped fields could not be audited due to the inability to create individual field rules for the non-controlling fields).

Data Maintenance

  • Added new option in Update Unique Records filter options that will allow users to copy a value from one field into another field. CLD-5294
  • Added new transform types for ‘Update Unique Records’ filters: US State Name to State Code & US State Code to State Name. This will do a find/replace to standardize State values. CLD-6605
  • Mass Convert filter: Added new ownership option and added Account search that checks for existing Accounts while converting Leads (to prevent creating duplicates). CLD-7482

Filters 

  • ‘Starts With’ & ‘Ends With’ scope now supports ‘Or’ logic using multiple partial values. Values must be comma separated, no spaces. CLD-6179
  • Added new scope options (such as ‘X number of days’) for date fields. CLD-7479

Import

  • Added new transform types during mapping for: US State Name to State Code & US State Code to State Name. This will do a find/replace to standardize State values. CLD-7669

Marketo Integration

  • Added an attribute so that user can map to a corresponding record within Marketo (even if there is none) CLD-7709

Merge Preview

  • Added logic to check if the user is ‘Active’ when determining portal user or account assignment (previously it was only looking at the portal designation in the Users table, even if the user had been deactivated without the portal being properly disabled first). CLD-7653

Reports

  • Added a new report called ‘Filter Schedules Report’ – which contains the filter name, user’s email, platform, if automation cleanup is enabled, the run recurrence, interval, start & end date.

3.8.4.0 - September 1, 2020

Automation

  • Added option that will immediately halt all automation jobs.The halt functions work independently per dashboard. Feature is located under ‘Automation’ >> ‘Halt & Disable All Dedupe Automation’ or ‘Halt & Disable All Data Maint. Automation’ (dedupe halt is done from dedupe dashboard and Data Maintenance is done from the Data Maintenance dashboard). The menu option will change to say Resume if the filters are already halted.
  • ‘Oldest by given date field’ rules now require a value under ‘Options’ for the master or field level rules when editing or creating a rule with this specific rule type. Option setting requires that you specify if you want to treat blank as a value. Set the value to ‘False’ if you do not want to evaluate blanks for value determination. Set the value to ‘True’ if you want to evaluate blanks for value determination. If set to ‘True’, Cloudingo will assume the blank value as the oldest date (the beginning of time) since no date exists.

Automation Preview Report

  • Added a column to the report output called ‘Duplicate Record Count’

Filters

  • Added scope options to ‘Limit your records’ section (tab 3) of the filter configuration for multi-picklist fields. New options now include ‘Excludes Value(s)’ & ‘Includes Value(s)’. This allows searching individual, but multiple, picklist values independently without being inclusive of all values being required to meet the ‘or’ logic. Example: When using ‘Equal’ using multi-picklist values, all values must be present on the records for the match to be identified. When using ‘Includes Value(s)’, ‘or’ logic is used and will identify record matches where any record has a value set to one of the specified picklist values. These options only impact multi-picklist field types. All other field types already use ‘or’ logic when using ‘Equal’ or ‘Not Equal’ when set using comma separator (no spaces).

  • Address Validation now allows you to process jobs against portal users when the option to protect all portal users is enabled.

Find Data

  • Modified output on exported CSV to pair original file data with a good Salesforce match to help customers filter to delete unnecessary data out of the exported data.

Manage Dashboards

  • Admin users (using multi-user logins for Cloudingo) now have the ability to manage other user’s Reports, Imports, & Find Data schedules. Admins can also now add/hide report options for other users.

Speed Performance

  • Optimized speed performance throughout the application.

Sync

  • Added sync mode option that syncs using POSync jobs if batch jobs pending from Salesforce is less than 200 records per job. More than 200 records per job will use server to server polling for sync. The sync will handle both sync methods automatically based on customer server volume. The new mode also allows customers to enable custom objects for merge while still using API Integration at the same time.

Data Maintenance

  • Added bulk API for Data Maintenance filters to improve processing speed.

Filters

  • Cloudingo previously checked database schema for new fields added to Salesforce upon login, forcing users to log out & back into the Cloudingo application before the field would be available to use in a filter configuration. There is now an option in Tab 2 & Tab 3 allowing users to refresh their field list from within the filter configuration or edit.

Merge Preview

  • New settings are now available under the Options menu that will control how field values are chosen when manually deselecting records for merge. Previously, Cloudingo only allowed field level automation rules to re-run after deselecting a record. New options allow now available for re-running master level & group or field exclusion automation rules after deselecting records for merge.New or renamed options include:
    ‘Run Master Rule When Record Excluded (Merge only)’ (NEW)
    ‘Run Field Rules When Record Excluded’ (Option previously existed under ‘Run Rules When Record Excluded’ name)

3.8.0.0 - August 13, 2019

Automation Rules – Field Groups

  • Cloudingo now allows you to setup field groups using a controlling field (which can be used in a field level rule) and non-controlling fields that are part of the field group. The controlling field’s rule will determine how the field value is chosen. All grouped fields tied to that controlling field will be captured for merge from the same record. An example would be grouping address fields together using Street as the controlling field (using most recently created record value) – and grouping the related City, State, Zip & Country values from the same record. This can help prevent an end result of mix-matched address field values in the final record if the master record value is blank on one or more of the address fields.

Data Maintenance – Update Unique Records (new data cleansing options)

  • Cloudingo now offers a Find & Replace feature to find full or partial word searches within a field value (within a specified group of records) and replace the existing value with a different value.
  • Cloudingo has more data formatting/cleansing options available (using Transform). Transform options include:
    > Text Format (Upper, Lower, Title Case, & Capitalize First Letter)
    > Trim Types (Trim redundant, leading, or trailing whitespace)
    > Phone Format (Area code in parentheses, dashes only, spaced, or compacted)
     > Phone Extension Format (X Prefix, Ext Prefix, Allow Extension)

Find Data

  • Cloudingo now offers a new Find Data tool (available for Standard & Enterprise licenses). Find Data allows users to upload a CSV file to find existing records and pull back additional data for Export.

Reports – Filter Definition Report

  • Cloudingo now offers a Filter Definition Report. To enable the report, go to your Reports dashboard. Click the Reports option to the top right, and check the box for Filter Definition report. The report will retrieve filter & rule information in CSV format for all users.

Automation Rules (exclusion rules)

  • When field level rules are run before running exclusion rules (by default), the excluded record field values can still be used to determine the mater record values. Cloudingo exclusion rules now offer the ability to choose to execute the exclusion rules before determining the master or before evaluating field level rules.

Filter Library

  • For Enterprise customers using multi-user logins, the filter library can now be accessed by users that do not have the Automation Rule permission in their role.

3.7.7.0 - October 18, 2018

Account and Contact Relationships (Contacts with Multiple Account Associations)

  • For Orgs with multiple Account/Contact relationships enabled: Salesforce does not support merging of Accounts or Person Accounts with redundant relationships, nor are direct account relationships shifted to indirect relationships when merging Contacts.Selecting this feature will allow duplicate Accounts & Person Accounts to be merged. Redundant relationships will be removed during the merge.When merging Contacts with multiple Account relationships, the direct (primary) Account from the child (non-master duplicate) Contacts will become indirect Accounts related to the master Contact.To enable this feature, go to Admin >> Objects. Under the ‘Merge Options’ section, select the ‘Remove redundant relationships and reparent Accounts’ box.

Data Maintenance

  • Mass Update & Delete jobs can now be set to a specific batch size. Previously, we sent 20 records per job by default. This can be helpful in orgs that have issues with other triggers or flows eating up resources causing the mass jobs to fail. Data Maintenance:

  • Maintenance Type menu option names have changed:

Data Maintenance – Update Matching Records Filtering Available (New):

  • A new option to create a ‘hybrid’ filter (using ‘Update Matching Records’) to identify and mass update duplicate records. The filter allows for updating the specified group of duplicate records rather than merging or converting them.
  • There are 5 tabs available to build the filter. Building the filter will work similar to the standard de-dupe filter where you can match on fields, limit your records & limit your groups. The update tab allows you update the value to a specific value, to the master record’s value, or to a blank value.

Data Maintenance – Update Unique Records (previously named ‘Update’) – Actions Tab 4:

  • Data Maintenance Mass Update (‘Update Unique Records’) will allow you to update a specific value in Tab 3. Tab 4 has been added to allow for additional update actions (assign to a selected campaign, convert lead to a contact, create a note, or link the Lead to Account).

Data Maintenance – Update Unique Records

  • Option to filter from existing Salesforce report (instead of specific field criteria for filtering the list) now available.

Data Maintenance – Scheduling Job

Import

  • Step 5 of the import process now has an option to “Scan ONLY import records from this import file (ignore other files)”. By default, Cloudingo will scan your uploaded file against all existing Salesforce records in your org, as well as other incomplete import files uploaded into Cloudingo. Check this box if you do NOT want to include import records from other file uploads.

Owner Mapping – Additional Mapping Options Available:

  • When setting up owner mapping to automatically re-assign ownership from one owner to another, there are now additional options available to filter out users that need to be mapped.

3.6.1.0 - May 17, 2017

Company Clean Remove Spaces:

  • A new option to ‘Remove Spaces’ has been added when Company Clean is chosen as the filter matching option for a field. This will remove all spaces from the field value before making the comparison against other records. Ex: ABCXYZ, Inc. vs ABC XYZ – typical company clean would not catch this scenario, because it is only stripping out the ‘, Inc.’ for comparison. If you check the option to remove spaces, it will pair these company names since the space is removed for comparison.

Custom Object Account Name:

  • Account Name has been added as a field option on custom objects.

Data Maintenance (Mass Update) Title Case Option:

  • Currently in our Mass Update filter, we have a transform option on alpha/alpha numeric fields to allow users to transform the data into Upper or Lower case. There is now also a Title case option (which would capitalize the first Alpha character in each alpha word).

Filter Group Name Selection:

  • When setting up a filter, your primary field was always the first field selected in Tab 2 of your filter configuration. This field was always the field value displayed in the Merge Preview page when listing your groups by name. Now, you have the ability to change the Group Name display to any field that you have in your filter configuration. This includes cross-field matching filters where you were choosing the cross field mappings in Step 1. You now have the ability to set either of your cross fields as the Group Name display.

Filter & Automation Owner Includes Partner Portal Users:

  • When filtering or setting up an automation rule on Owner, the list of owners returned previously only included Salesforce users, groups & queues. The list of users available to choose from will now also include Partner Portal users in your org.

Merge Preview Automation Rule After Manual Changes:

  • There is now a new user preference setting that will allow users to re-run automation rules when any record in the merge grid is excluded (or included) while manually changing the records chosen for merge. The setting is on the merge grid, and must be selected. Automation rules will then be re-applied to the selected records only.

Sandbox Enhancements for Reconnection:

  • Cloudingo connects to your org using the Salesforce Org ID, and after refresh, Salesforce assigns the org a new ID. This leaves a broken connection to the Sandbox connection. You now have the ability to update the connection to your newly refreshed Sandbox environment on your own without needing to contact Support to delete the previous connection.

  • Cloudingo now supports custom objects when creating filters, automation rules, and importing CSV files.

Profiling/Indexing:

  • Profiling can now be performed on individual objects rather than the entire org. This will allow users to continue working in objects while another object profiles/synchs with Salesforce.
  • Users can control which fields they want to always be profiled/indexed within each object. When setting the fields in the Manage Object>> Field section, this will prevent a profiling job to trigger when new fields are added to the filter (as long as they are in the pre-set indexed field list).

Protected/Community-Portal Users:

  • Logic redefined when determining a record as a portal user. Previously, if any contact existed under an account where the account was a community/portal user, all contacts within that account were marked as community/portal users (in the merge preview display page). Now, only contacts that have associated user records to a portal will be defined as a community/portal user.
  • Added logic to step 3 & step 4 of filter configuration to allow scope setting that will filter out groups or records that contain a community/portal user.

  • Added ability to enter in text-entered values for picklist fields, rather than just choose a value from the preset picklist value options.

Merge Preview:
